Management Console

At the core of any ASPIS solution, integrating a central database, the management system ASPISControl interconnects objects, people and RFID tags, with strict rules, granting or denying use or access, and trace the complete inventory, following the operational requirements of its user

  • Control by RFID is enabled thanks to the introduction of RFID “tags” that contain a detailed description of the item they are attached to.
  • These RFID tags are associated with each element via the ASPIS solution platform, supplying real time information such as full inventory, visibility, tracking and control of the tagged items 
  • When passing through the control area of RFID readers, the entire inventory is scanned in seconds and the database is automatically updated without staff intervention.
  • The complete track and trace solution including the management system ASPISCONTROL is composed of the following modules: CARS, PERSON, TAGS, all within the ASPIS Portfolio.

The management system addresses the mission-critical need to ensure appropriate access to resources across increasingly heterogeneous technology environments, and to meet increasingly rigorous compliance requirements. This security and enforcing practice is a crucial undertaking for any enterprise or organisation. It is increasingly business-aligned, and it requires business alignment, not just technical expertise.

We have developed the system to be flexible and modular to adapt to any business requirement and to be compliant to standards such as the United Nations International Small Arms Control Standards.

ASPISControl in Armoury Management

In order to help having a better understanding how ASPISControl is at the heart of any ASPIS Solution, we have provided some screenshots of the management console when deployed in ASPISWMS; ASPIS Weapons Management System.

ASPISControl, a policy-based rule engine built around a central database, reads information from various sources, such as common ID cards, bar code or RFID Tags, around any applicable business process we integrated to the core components. The business process, – which is in most cases an operational process to which we want to add track-and-trace knowledge – gives us ad-hoc information on the position of our assets, and who is willing to access them. When applying our solution to handling any given inventory associated to such business process, we speak about asset management.

Following screens show ASPIS in an operational environment controlling the hand-out and/or receive process of weapons into an armoury. We go as far as integrating Inventory Management with regular and accurate auditing applied to this very specific and critical environment.

Asset Management : Delivery and reception of weapons and accessories for daily movements. Information on items in the possession of staff. Alerts in case of expiry. Suggestion of required items for guards and agents, statement of alerts, stock information of the item in the armoury, inspection status. Using ASPISTags and ASPISControl.

HR Process: Photograph and General information about the staff are contained in the ASPISPerson module. By linking identity management to asset management we can manage the authorisation to carry weapons (or not of course). Weapons and accessories handed out and delivered are associated to a person’s ID card. History of delivery and reception of weapons is as such contained in the ASPISControl management console.

Operational Process

We analyse the operational environment of our clients and translate their business needs into menu items in our central management console. As such, from one central point, we track the use of the assets that are being put under ASPISControl.

The ASPIS Armoury Management system (ASPISWMS) is optimised for Weapons / Gear Accountability, by tracking weapons, gear and defensive equipment using software screens, bar codes and / or RFID technologies.  The software is fully developed, COTS (Commercial Off-the- Shelf) software and is typically further customized according to each customer’s specific requirements. The ASPIS rapid-application-development toolkit enables the software to be rapidly configured according to each customer’s preferred terminology (data fields), and to automate workflow and generate reports consistent with current or preferred operational practices.

In addition to tracking weapons and gear, ASPISWMS provides software components to track weapons cleanings, inspections, maintenance, test firings and similar functions. ASPISWMS also includes functionality to track and look-up weapons certifications, ‘Do Not Arm’ status, items-required-for-a-post, and similar database lookups during transfer and return processing.

A single database ‘instance’ of ASPISWMS can be further configured to model and track a wide range of additional items, such as records, evidence, assets, people, vehicles or similar entities. The software is installed on a secured local server and the connections to the server, for delegated administration, are set-up over encrypted tunnels, between remote sites and the centrally hosted management console.
